5  Meetings

5.1 Check-ins and “retrospectives”

Every few months we have a “collaboration-assessment” meeting. At the least, the tech leads and/or representatives from each work package need to attend, but it is open to anyone working on DP-Next. We follow the style of a meeting type called a “retrospective” that is also used in the Seedcase Project.

During these meetings we discuss any challenges people are having and ways that we can improve collaboration within and between work packages. The focus is mainly on collaboration practices, tools, and methods that could benefit the project as a whole or multiple work packages. We discuss what went well, what didn’t go well, and what we can improve. Then we create action items to address the issues we identified.

5.2 Update meetings

Every week, most work package groups have a very short “update” meeting. During the meeting, the roadmap manager shares their screen of the project board and go over the tasks on the board that are at the “in-progress” or later (e.g. “in review”) states. Each person gives an a very brief update on their tasks they’ve been working on since the last update meeting. Pay attention to tasks that are blocked and briefly discuss if any action needs to be taken to resolve the block.

This style of meeting is modelled after the Seedcase Project update meetings, which itself models these meetings off of “daily standups” and similar iterative and incremental project management practices.
